Who we are

NorthchAIr Ltd (“NorthchAIr”, “we”, “us”) is a UK private limited company in formation, based in the United Kingdom. Founder and sole operator: Shamanth.

Once incorporated (target Mon 1 Jun 2026), Companies House number, registered address, and ICO data-protection registration number will be published in the footer of this page.

What data we collect

On this website, we collect data from two sources:

1. The Founding 40 application form. Voluntary; submitted by you. Fields include: full name, practice name(s), practice email, mobile number (optional), number of sites, annual turnover band, current PMS, current practice manager arrangement and approximate cost (optional), top operational pain, why-now context, optional charter member opt-in. We collect only what we need to assess fit and follow up.
2. Aggregated, cookieless analytics. We use Cloudflare Web Analytics — a privacy-respecting, cookieless service that tells us how many visits the site received and which pages performed well. It does not set cookies, identify individuals, build profiles, or share data with third parties.

Why we collect it

• To assess whether your practice is a good fit for the Founding 40 cohort.
• To schedule a discovery call if both parties want to take the conversation further.
• To follow up about NorthchAIr (the Founding 40 cohort, the Sprint, tier engagements). You can opt out of follow-up at any time by replying to any email or by emailing hello@northchair.co.uk.
• To improve the website's clarity (aggregate analytics only — never individual behaviour).

Lawful basis (UK GDPR Art. 6). Application form data: legitimate interests (assessing fit for a commercial engagement you initiated). Analytics: legitimate interests (improving the service), with a privacy-by-design cookieless tool.

Where it's stored

• Application data: stored in a Notion database (Notion Labs, Inc. — USA). International transfer protected by Notion's contractual safeguards (SCCs / UK IDTA).
• Email correspondence: stored in Google Workspace / Cloudflare Email Routing.
• Analytics data: aggregated and stored by Cloudflare (UK + global edge). Cloudflare Web Analytics retention is short by design.

How long we keep it

• Successful applicants who become customers: application data is retained for the duration of the engagement plus six years (UK statutory retention for commercial records).
• Unsuccessful or withdrawn applicants: application data is retained for 24 months (in case the practice re-applies or circumstances change), then deleted.
• Email correspondence: retained per Google Workspace defaults; deleted on request.

Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

• Access the personal data we hold about you (Art. 15).
• Correct it if it's wrong (Art. 16).
• Request its deletion (Art. 17).
• Restrict its processing (Art. 18).
• Receive it in a portable format (Art. 20).
• Object to legitimate-interests processing (Art. 21).

You also have the right to lodge a complaint with the UK Information Commissioner's Office: ico.org.uk.

Cookies

This website does not set cookies. Cloudflare Web Analytics works by reading the HTTP request headers your browser already sends — no cookie, no fingerprinting, no consent banner needed under PECR (Privacy and Electronic Communications Regulations). If we ever add a tool that does set a cookie, we'll add a consent banner first.

Customer engagements

Once you become a NorthchAIr customer, our processing of your practice's personal data (staff records, patient data, etc.) is governed by the Master Service Agreement (MSA) and Data Processing Agreement (DPA), both lawyer-drafted and signed at engagement. Those documents supersede this site policy for customer-engagement data.

Changes to this policy

We may update this policy occasionally. Material changes will be flagged at the top of this page for 30 days. The current version and last-updated date are at the top.
